Pop Media (“Pop Media”, “we”, “us”, “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose and protect personal information in connection with our website (popmedia.au) and our digital marketing services, including SEO, website design, social media management and PPC advertising.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). As a Victorian-based business we also have regard to relevant Victorian privacy guidance, noting that the Privacy and Data Protection Act 2014 (Vic) primarily applies to Victorian public sector agencies rather than private businesses like ours — we reference it here for transparency about the standards we hold ourselves to.
1. What personal information we collect
We may collect the following types of personal information:
- Contact and enquiry information — name, email address, phone number, business name and any details you submit through our contact or enquiry forms.
- Newsletter and marketing signups — name and email address if you subscribe to our newsletter or opt in to marketing communications.
- Technical and usage information — IP address, browser type, device information, pages visited, referring site, and interaction data collected via cookies and similar tracking technologies.
- Client and campaign data — where we provide services to clients, we may handle personal information contained in client marketing lists, ad platforms, or analytics accounts on our clients’ behalf, in accordance with our service agreements.
2. Cookies and tracking technologies
Our website uses cookies and similar technologies, including:
- Google Analytics — to understand website traffic and user behaviour;
- Meta Pixel — to measure the effectiveness of advertising and build audiences for future campaigns;
- Other advertising and re-marketing tools we may use from time to time as part of our own marketing or on behalf of clients.
These tools may collect information such as your IP address, device identifiers and browsing activity, and may set cookies on your device. You can control or disable cookies through your browser settings; please note that disabling cookies may affect the functionality of our website. Where required, we will seek your consent to non-essential cookies via a cookie banner or similar mechanism.
3. How we use your information
We use personal information to:
- respond to enquiries and provide quotes or proposals;
- deliver, manage and improve our services;

- analyse and improve our website and marketing performance;
- run advertising and re-marketing campaigns, including on behalf of clients;
- comply with our legal obligations.
4. Disclosure of personal information
We may disclose personal information to:
- our staff and contractors who need it to perform their roles;
- third-party service providers that support our operations, such as website hosting, email marketing platforms, analytics providers (e.g. Google), and advertising platforms (e.g. Meta);
- clients, where information relates to a campaign or project we are delivering on their behalf;
- regulatory or law enforcement bodies where required by law.
We do not sell personal information to third parties.
5. Overseas disclosure
Some of the third-party platforms we use (such as Google and Meta) may store or process data on servers located outside Australia. Where personal information is disclosed overseas, we take reasonable steps to ensure it is handled in a manner consistent with the Australian Privacy Principles, including relying on the data handling practices and certifications of major providers.
6. Data security
We take reasonable technical and organisational steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. This includes restricting access to personal information to authorised personnel and using secure systems for storage.
7. Access and correction
You may request access to, or correction of, the personal information we hold about you by contacting us using the details below. We will respond within a reasonable timeframe and in accordance with the Privacy Act. In some circumstances we may be unable to provide access (for example, where it would unreasonably impact the privacy of others), and we will explain our reasons if this is the case.
8. Marketing communications and opt-out
You can unsubscribe from our marketing communications at any time using the unsubscribe link in any email, or by contacting us directly. We will process your request within a reasonable time.
